The challenge

What was broken.

  • Cold outbound at scale needs to feel personal — generic 'Hi {first_name}' templates have a sub-1% reply rate and tank sender reputation.
  • Lead sourcing was fragmented across LinkedIn Sales Nav, Apollo, ZoomInfo, and bespoke scrapers — each with its own pricing and rate limits.
  • Email deliverability is a moving target — domain warming, sender rotation, content filters, and ESP relationship-building all decide whether messages land in the inbox or spam.
Our approach

How we solved it.

  • Built a unified prospect graph: ingestion adapters for every source, deduplication, and a continuously-refreshed enrichment layer.
  • Designed the message generator as a multi-step LLM pipeline — research → angle selection → draft → personalisation pass — with human-in-the-loop approval gates configurable per campaign.
  • Implemented sender-reputation management with domain rotation, warm-up automation, bounce monitoring, and per-domain delivery throttling.
  • Used Temporal to orchestrate long-running outreach workflows with retry semantics, time-zoned send windows, and reply detection.
